Repository Policies

Please note, these policies are for information only, and do not constitute a legal document or legal advice.

Submissions Policy (concerning depositors, quality and copyright)

  1. Creators will deposit either full reference details or full text versions of only their own publications.
  2. Any creator with a Solent account can deposit, registration is not required.
  3. The validity and authenticity of the content of submissions is the sole responsibility of the creator.
  4. Submitted items are not vetted or checked by the library / administrative team.
  5. Where a publisher has placed a time embargo on publications, the item can be deposited but full text will not be viewable until that date.
  6. Any copyright violations are entirely the responsibility of the creators/depositors
  7. If SEA receives proof of copyright violation the relevant item will be removed immediately.

Content Policy (for types of document and data set held)

  1. This is an institutional repository containing research output conducted by, or on behalf of Solent University.
  2. The repository will accept any material relating to research output in any format, including multimedia. Examples of material include journal articles, book chapters, conference papers, PhD theses and unpublished research.
  3. Research papers may include unpublished pre prints (not peer reviewed), final peer reviewed drafts (post-prints) and published versions.
  4. Papers are individually tagged with their peer-review and publication status
  5. Principal language – English

Take Down / Withdrawal Policy

  1. The institutional repository working group (IRWG), or others nominated by that group will review any take down requests and where appropriate, items will be moved from view immediately.
  2. Items may be permanently withdrawn for the following reasons
    1. Journal publisher’s rules
    2. Proven copyright violation or plagiarism
    3. Legal requirements and proven violation
    4. National security
    5. Falsified research
    6. Concerns over the quality of content
  3. Changes to deposited items are permitted
  4. Errata and corrigenda lists may be included with the original record if required
  5. If necessary an updated version may be deposited (See Content Policy)

Metadata Policy (for information describing items in the repository)

  1. Anyone may access the metadata free of charge
  2. The metadata may be re-used in any medium without prior permission for not-for-profit purposes and re-sold commercially in any format or medium, provided the OAI identifier or a link to the original metadata record are given.

Data policy (for full text and other full data items)

  1. Anyone may access full items free of charge
  2. Copies of full items generally can be reproduced, displayed or performed and given to third parties in any format or medium, either for personal research or study, educational or not- for-profit purposes without permission or charge, provided:
    1. The creator(s), title and full bibliographic details are given
    2. A hyperlink and/or URL are given for the original metadata page
    3. The content is not changed in any way
    We would appreciate it, however, if you could let us know what use you are making of any materials downloaded from the repository by emailing details to ir.admin@solent.ac.uk
  3. Full items may be harvested by robots transiently. Where full items are harvested permanently, permission must be sought from Solent University Library.
  4. Full items must not be sold commercially without formal permission of the copyright holders.
  5. Some full items are individually tagged with different rights permissions and conditions, for example Undergraduate dissertations will be available internally only.

Preservation Policy

  1. Items will be retained indefinitely, unless there has been a successful take down request.
  2. The repository will try to ensure continued readability and accessibility
  3. It may not be possible to guarantee the readability of some obsolete or unusual file formats
  4. The repository regularly backs up files according to best current practice
